Demo: the Formstep dashboard. A request to Ada Lovelace is sent from the dashboard with her company name prefilled and locked. She opens it, starts answering, and submits. Her answers arrive on the Requests page under their field keys: the company name, the billing address, her company registration, an AI Validation that passed because the registration matches the company name, and her signature.

Example: a Nordlys supplier onboarding form. The supplier uploads an invoice by mistake, AI Validation notes that it needs the certificate of registration, and the certificate passes: it has the owner’s signature.

A HubSpot deal starts an n8n workflow, which creates a request with case_id CS-2048 and waits to branch on approve, decline or changes. Ada answers it on her phone: her company name is prefilled and locked, AI Validation passes her registration, she approves and signs. Yes, as many as you need, on every plan. Each client or brand gets its own workspace with its own members, forms, integrations, domains and answers, so nothing mixes. Invite your team with one link: members are unlimited, with no per-seat pricing. Payments go to the client’s own Stripe and bookings to their Cal.com, and on Pro and Business forms and emails can run on the client’s domain without Formstep branding. Your workspaces share your plan’s monthly allowance and storage. Remove a member, and their API keys and connected apps stop working.

Workspaces and members

In the EU. Requests and answers are stored on AWS in Ireland, uploaded files and signatures in Cloudflare’s EU storage, and AI runs on Amazon Bedrock inside the EU, which keeps no copy and never trains on your data. A data processing agreement applies automatically. Data is encrypted in transit and at rest, with daily encrypted backups. Answers stay until you delete them, and on Business you can have them deleted on a schedule.

No. Send the request from the dashboard and read the answers on the Requests page; a workflow sends the same request when you automate later. On Pro and Business, Formstep emails the recipient, from your own domain once you set one up. On Free, it sends your first 10 invitations to your own address, so you can see the email; send the link yourself through any channel.

They’re questions you add to the form, on every plan. Payments go through your own Stripe account, straight to you, in 15 currencies, and Formstep takes no cut; the amount can be fixed or calculated from the answers. Bookings use your Cal.com: people pick a time inside the form. File uploads take up to 1 GB per file, with the types and number you allow, within your plan’s storage. Signatures are drawn with a finger, mouse or trackpad and appear in the submission PDF.

Payments, files and signatures

Yes. Every published form also gets a share link any number of people can answer: post it, embed the form, open it as a popup or print a QR code. Logic, translations and integrations work as they do on a request, and answers land in the same inbox, so you don’t need a separate form builder.

Share links and embeds

Yes, on every plan. Download a form’s answers as CSV or Excel, with your filters applied, and download a PDF of any submission from its row, in the language it was answered in. On Pro and Business, the PDF can also be attached to notification and confirmation emails, and webhooks and integrations carry a link to it.

Exports

No. Formstep handles the step where you need something from a person; your CRM keeps the customer record, and Formstep keeps no contact list. Each request stores who it went to, the details your workflow passed along, and its answers. Expired or canceled requests are deleted 30 days after they end; completed ones stay until you delete them. With HubSpot, you can prefill a request from a contact, and the answers update that contact.

HubSpot integration

Yes. Describe a form, or upload a PDF or a screenshot, and AI builds it; then refine it by chat in the editor. AI also translates forms, analyzes submissions and can run your workspace by chat, asking first before it publishes or deletes anything. It runs on Amazon Bedrock in the EU and never trains on your data. AI uses credit packs you buy when you need them, and they never expire. Your own AI agent can also work through MCP without using credits.
